  • Employee Assignment Information: Specific details about which employees are assigned to particular court cases or hearings.
  • Google Calendar Integration Data: Information related to event reminders, notifications, and calendar invites that may include personal work-related notes for internal coordination.

How We Use Your Information

The personal data collected will be used exclusively for the following purposes:

  • Court Case Event Management: To schedule, manage, and send reminders for court case hearings involving HMWS&SB employees.
  • Internal Coordination: To facilitate coordination among office employees regarding court case preparation, attendance, and follow-ups.
  • Notifications and Reminders: To send automated reminders and notifications related to upcoming court case events via Google Calendar to ensure timely attendance and preparation.
  • Communication: To facilitate internal communication related to case details, updates, or changes in scheduled hearings or court proceedings.

Sharing of Information

We understand the importance of confidentiality and do not share your personal information externally. However, the following internal sharing may occur:

  • HMWSSB Employees: Your personal information and court case event details will be shared within HMWSSB departments responsible for handling the case (such as the legal team, administrative staff, or other relevant teams).
  • Google Calendar: When events related to court cases are added to your Google Calendar, relevant event details (e.g., case number, date, and location) will be stored in Google's cloud services. This information is only accessible by authorized employees of HMWSSB who have access to the internal calendar system.

Data Security

We implement strict internal security measures to protect your personal data and ensure its confidentiality. The systems used to manage court case events (including Google Calendar) are protected by employee access controls, encryption, and secure communication protocols. However, it’s important to note that no data transmission over the internet can be completely secure, and we cannot guarantee the absolute security of the information stored on third-party platforms such as Google. HMWSSB recommends that employees take precautions to protect their Google account login information, such as using strong passwords and enabling two-factor authentication.

Data Retention

Your personal data and associated event information will be retained only for as long as necessary to manage the court case events and fulfill legal or administrative requirements. Once a case is concluded or no longer requires follow-up, related data will be archived or deleted, as per HMWSSB’s data retention policies.
